HomeMy WebLinkAboutRFI - Legacy Square ActivationCity of Renton – Request for Interest (RFI) Legacy Square Activation – Summer 2026 Release Date: December 12, 2025 Submission Deadline: January 9, 2026 Contact: jkotarski@rentonwa.gov Overview: The City of Renton is seeking community partners to create and host events at Legacy Square following the starting July 20, 2026 through October 1, 2026 We are looking for creative proposals that engage the community, highlight local culture, and activate the space for public enjoyment. Objectives • Activate Legacy Square as a lively community gathering place. • Showcase local culture, talent, and creativity. • Provide inclusive, accessible experiences for all ages. • Encourage community engagement and connection. Examples of Potential Activations • Live performances (music, dance, theater) • Pop -up art installations or mural projects • Fitness, wellness, or cultural workshops • Family-friendly activities and games • Community markets or fairs Note: These are examples; we welcome creative ideas beyond this list. What’s Expected from Partners • Provide free programming for the public. • Provide and Manage staffing, volunteers, and event-specific logistics. • Collaborate with the City to ensure a safe, engaging activation. • Submit proposed schedule, duration, and audience estimate. What the City Will Provide • Use of Legacy Square at no charge (includes access to stage, seating, plaza, and other public spaces) according to a mutually agreed schedule •Assistance in navigating permitting and safety requirements.(coordination for power and site management requirements) •Links to event social media and web presence on City platforms Time, Space, and Capacity •Events can be scheduled any day of the week starting July 20, 2026 through October 1, 2026 . •Partners may propose single-day or multi-day activations, including weekend or evening programming. •We encourage a variety of times to maximize community access and participation, but all proposed schedules will be reviewed for site availability and coordination with other events. •Maximum expected capacity per event as determined according to space and event plans; proposal should include anticipated attendance for review by RRFA (Fire Marshal) during event planning •Site map and stage specifics: (see attached draft site depiction - details subject to change) Submission Guidelines: •Submit a brief statement of interest including your proposed activation, preferred dates, estimated attendance, and any support requested from the City. •Send your response to jkotarski@rentonwa.gov by January 9, 2026. Selected respondents will be notified promptly. After review of the initial submissions, the City may invite select partners to submit a full proposal, which could include funding support and more detailed planning information. RFI Submission Requirements: Interested parties should include the following in their initial response: 1.Organization/Artist Information: Name, contact information, and a brief bio or overview. 2.Concept Description: Outline your proposed activation, including intended audience, duration, and estimated schedule including day(s)/date(s). 3.Staffing & Resources: Identify who will manage or operate the activity and what support is needed (e.g., what facilities and resources will be used) and what you will provide or request from the City. 4.Previous Experience: Share examples of similar projects or events. 5. Budget Overview: Provide a general cost estimate if applicable (more detailed budget information may be requested at the full proposal stage). Submission Instructions: Please submit your RFI via email to jkotarski@rentonwa.gov with the subject line: Legacy Square Activation RFI – Summer 2026. PDF submissions are preferred. Review & Next Steps: The City will review submissions and may follow up with selected respondents to request more detailed proposals or discuss potential partnerships. This RFI is non-binding and does not constitute a commitment to fund or contract services. Any selected applicant will be required to enter into a contract with the City using its standard forms. The specific contract type will depend on the proposed activation plan. Deadline: All submissions must be received by January 9, 2026. Late submissions may not be considered. Please note: At the time of execution of contract, all selected applicants must provide the following: • Proof of liability insurance including $1,000,000/occurrence and $2,000,000/general aggregate.
