Approval of Previous Minutes Shannon moved to approve the April 2016 minutes as written;seconded by Tina; motion carried. 2. Draft RatinTool Dianne and Brook went over the rating tool. There is room on the tool to make comments; staff asked members to write down their thoughts and questions. This information is very helpful when staff meets with agencies after the funding process—to discuss their score and what they could do better. Consistency in scoring from one application to the other is the most important quality to strive for while going through your scoring process. Karen explained that there are several programs that serve the same needs; more than one can be funded as usually the need is high, and it gives residents choices as to who to get services from. Dianne reviewed the elements of a good application, and what was included in the help text to help agencies know what the cities were looking for. Both Brook and Amy provided their contact information and encouraged the members to call, text or email if they had questions or needed help while going through the rating process 3. Share One Trainin Dianne gave the members their log-on password and introduction to the Sharel application menu and screens. Agency ratings can be done manually or electronically. 4. Distribution of Notebooks . Each member got two notebooks—one for the applications they read and rate, and the other is to be familiar with (the other group is reading and rating them). Documents that agencies uploaded, like board minutes, board roster, and the audit are accessible to members by logging in to Share One. Members complete a rating tool for every application they are assigned to read. 5. GrOUpS Assignments—The Committee has been divided into two groups. Each group will meet individually to go over their assigned applications. The individual Rating scores for each group of applications being reviewed must be delivered to Dianne by the end of the workday Monday before each weekly review meeting. This is background information so that members are familiar with options for additional human services funding. Additional staff, funding for the Housing Repair Program, and increased funding to human services agencies are some of the possibilities. At next month's meeting we will discuss: If we had additional human services funding, what would we use it for? What outcome do we want to have?
