Berkshire Investors, $18,228, for “Refund of Credit Balance” – Why all of the refunds? A large estimated payoff amount was paid through escrow prior to the sale of the Berkshire Apartments. This was the overpayment at closing and it was refunded. 2. Cintas, $15,729, for “Uniforms for Water and Street” – What is the shops process for uniform replacement/purchasing? To ensure the City shops crew look professional and are easily recognized as City staff when they are out working in the field, the crew is provided with specific clothing items with their names and the City logo embroidered. The City has provisions for annual replacements to ensure uniforms remain professional looking. 3. General Question: Did the payment the City made to Bonneville for $13,500 for the ESPN Seahawks Rally come from Hotel/Motel Tax revenue? Yes, this was paid with Hotel/Motel Tax sources, as approved by the lodging tax commission and Council. Follow up from the 4/11/16 Finance Committee Meeting: 1. Pacific Plants, $3,175, for “Trees for Street Tree Planting Program” – These trees are very expensive, does the nursery provide a warranty or a guarantee for the trees? Per Terry Flatley: “Trees by themselves are not usually warranty covered. They are only covered under a warranty if the supplier is the company doing the planting. In our case, we are receiving trees from a supplier that does not plant the trees, therefore, I have to hire a contractor to plant but the supplying nursery typically won’t warranty them then. The price of a tree under warranty is usually double the cost without the warranty. Finally, we rarely loose newly planted trees because we insist upon strict planting guidelines and the trees receive supplemental irrigation at least the first two years following planting. Also, we provide detailed care instructions to the property owner receiving the tree, which includes watering instructions.” 2. General Request: Please add more detail for purchases >$100 from general supply retailers (i.e. Office Depot, Sams Club, McLendons, etc). This request has been distributed among departments. Also, during A/P’s review, submitted invoices will be reviewed for adequate descriptions and follow up with the initiating department, as needed. Please let me know if you have any questions.
