1) For SaaS vendors, please provide the number of users who will need licenses to access the system for the
5 years provided in the pricing section.
[Answer]
For year 1 and 2, the city will need 4-5 licenses. From year 3 to 5, the city will need 10-12 licenses.
The types of roles are as follow:
a) 2 managers
b) 3 supervisors
c) 3-4 workers
d) 1 USDA
e) 1 attorney (read only)
f) 1 administrator
2) Which SSO is currently in place at the airport?
[Answer]
The existing systems and applications located across organization boundaries uses Active
Directory Federated Services (ADFS) for SSO. The city recently implemented Azure Active Directory
(AAD) on a government cloud, as such this is the preferred method to implement SSO.
3) Regarding requirement F-240 what format can the Airport provide the historical data? Can you expand on
this requirement (i.e., historical inspections, work orders, wildlife need to be entries in the system, or just
as PDF uploads, or a table level upload?)
[Answer]
The airport shall provide historical data in either excel, paper forms, PDF, and CSV format.
4) Will the system be used by just the airport or the city as well for managing not just airport assets but all
city assets?
[Answer]
The system will mainly be use by the airport, and its’ customers.
5) To properly bid this project we will need to know how many users will access the system. Can you please
provide user roles and counts?
a) Full System Access (All Modules) Number of Users, Named or Concurrent
[Answer]
All internal users shall have access to all system modules. However, administrators shall have
the ability to grant access to features, and functionalities in all system modules for each user
account.

b) Limited Users (Can select and only use up to three of the system modules) Named or Concurrent.
[Answer]
All external users (customers) shall have access to public dashboards, leasing information,
and work orders.
c) Express Users (Users who would only execute and/or be part of the work order approval process,
not create new work orders) Named or Concurrent.
[Answer]
There shall be 4-5 users with either manager or supervisor roles.
6) Does the city expect the responder to provide desktop and/or mobile hardware? As we are proposing a
hosted solution there is no server infrastructure required. The only additional hardware that would be
needed is desktop computer and mobile devices.
[Answer]
The city shall provide mobile devices and desktop computers to the city’s staff.
7) Please confirm the due date, the schedule on page 5 states March 2, 2021 by 4 pm PST, conflicts with the
due date on the cover of March 3, 2021 by 4 pm PST.
[Answer]
The correct due date is March 3, 2021 at 4 PM PST.
8) Has a budget been approved and if so, what is the approved budget?
[Answer]
The city has approved an estimated budget of $20,000.
9) In the RFP Submittal Document, Functional Requirements Tab, the cells F89, F90, F93, F234, F235, F236,
F237, F238, F239 & F240 are locked and we are unable to respond to those tabs. Should they remain
blank or should we submit a response to those cells as an attachment?

10) For the alternative attachments for Qualifications and Experience, Approach and Methodology, Project
Management Philosophy and Schedule, License, Maintenance & Warranty Agreements, and Sample
Contract Markup, will you accept those as one (1) pdf file or will they have to be separate attachments?

Vendors may submit them separately if the filename clearly reflect the content of the document
or as one pdf file.
