Virtual Meetings – Customer Tip Sheet

Overview
Community and Economic Development Permit Center has set up virtual appointments to assist customers with many of
their general questions through an online Teams meeting or by phone if preferred.
Appointments are available Monday through Friday for 15-minute blocks based on the schedule below. Availability will
be based on the calendar and only one appointment can be made during a time slot. Must be booked 2 hours in
advance and no more than 30-days out.

To schedule a virtual appointment go to the Permit Center webpage and click the Book Now link.
Select an available date and time for your appointment.

After choosing a date and time for your scheduled appointment, you will be asked to fill out your details including your
Name, email, address (optional), phone number (optional) and provide additional information about the reason for your
appointment. Select an option from the drop down and enter the address or parcel number (required) associated with
your inquiry.
Select the Book button at the bottom, once you have filled out the necessary information.
You will see the following two pop ups after you click Book.
You will also receive a confirmation email from permitcenter@rentonwa.gov. The email will have your scheduled
appointment date, time, the ability to join the meeting (button), and the ability to reschedule your appointment
(button). The booking.ics attachment will allow you to add the meeting to your calendar.

You will also receive an additional email with the Teams link as well as a call-in number with the conference ID (if you
are unable to get to a computer, you can call in to the meeting with the call-in number and conference ID provided).
Additional reminder emails will be sent 1-day and 1-hour in advance of the scheduled meeting.
You will also be able to manage the booking from these emails. To cancel the booking, in the 1st email you can click the
Reschedule button or in the 2nd email you can click the Manage Booking link

When you click either one of these, you will be directed to the booking appointment page, here you can either cancel
the booking (Cancel booking button) or reschedule the booking (Reschedule button).
If you click Cancel booking you will receive a pop up asking, “Are you sure you want to cancel this booking?”, if you are
sure you want to cancel the meeting, click Cancel booking button
You will get a pop up on the screen confirming the booking has been cancelled as well as an email confirmation.

If you wish to reschedule your meeting, click the Reschedule button and you will be redirected to the scheduling
calendar, here you can pick a new time and/or new date. Once you have completed the changes, click Update booking
button.

You will receive a pop up on the screen confirming your meeting has been rescheduled as well as an email confirmation.
To join your scheduled appointment, click on either of these two options from either of the two different emails that
you received.
Option 1:
Click on the button labeled Join your appointment in the email with the subject of: Confirmed Virtual Permit Center
Appointments
Microsoft Teams will open. Microsoft Teams will ask to allow access to your camera and microphone, click Allow.

Once you have allowed Microsoft Teams access to your camera and microphone, Microsoft Teams will open, and you
will need to click Join Now to join your scheduled meeting.
Option 2:
Click on the Join Teams Meeting link in the email with the subject: Virtual Permit Center Appointments.

If you already have the Microsoft Teams application loaded on your computer, you can click on the Open Microsoft
Team button on the pop-up.
If you do not have the Microsoft Teams application on your computer, click the Continue on this browser to open a
web-based version of the Microsoft Teams application. (This allows you to use the application without having to
download it onto your computer or phone).
When Microsoft Teams opens, you will need to click Join Now to join your scheduled meeting.
