1.0 PURPOSE:
To establish a policy assigning responsibility for telephony, VOIP and cellular voice services as well as moves, adds, or changes to existing services, including additions to existing systems to the IT Division of the Executive Services Department.
2.0 ORGANIZATIONS AFFECTED:
All departments and divisions.

4.0 POLICY:
4.1 The City’s telecommunications systems are a vital part of the mechanism for serving the citizens of the City of Renton and are important tools for staff in conducting daily City business.
4.2 All requests for new or modified telephony, VOIP or cellular service must be processed by the appropriate IT personnel. Initiation of any requests should be done by contacting Client Technology Services via https://staffsupport.rentonwa.gov.
4.3 International cell phone usage is disallowed by default but can be allowed on a case-by-case basis for additional fees, by request.

6.0 PROCEDURES:
6.1 Department heads or their designees will make every effort to analyze thoroughly all communication requirements to assure that requested changes are genuinely needed and to avoid repeated subsequent requests for changes to the same area.

p. 2 6.2 Once it is determined a change is needed to telephony, VOIP or cellular phone service, a service request should be submitted to Information Technology Client Technology Services indicating the changes needed, requested delivery date, applicable phone numbers and staff involved, as well as the reason for the change. Service requests should be submitted via https://staffsupport.rentonwa.gov. 6.3 Information Technology Client Technology Services will contact the requesting party as necessary to confirm the work order request and the appropriate Information Technology staff will be assigned for completion of the work. 6.4 If the work order cannot be resolved by Information Technology staff, a vendor will be engaged. 6.5 Normal move, adds, repair, and changes will be funded by the Information Technology budget, as funds permit.
