Meeting Report
Renton City Hall
Council Conference Room, 7th Floor
May 15, 2018 3:00 p.m.

1. Meeting called to order at 3:08 pm by Chair Amy Koehl
2. Approval of Agenda,with the discussion of group notebooks, moved by Leslie seconded by all
3. Approval of April minutes, moved by Leslie seconded by Teresa
4. Discussion/Action Items
a. After reviewing the spreadsheet of soft funding targets and discussion of the options presented,
the group decided to go with option 2 that allocated$70,000 to Connector Services and Domestic
Violence/Sexual Assault need areas,$85,000 to Economic Opportunity/Self Sufficiency,$120,000
each to Basic Needs and Health and Wellness, and $121,037 to Homeless Services/Housing.
b. The group revisited their interest in having a parallel funding process that would be more inclusive
of smaller grass roots types of agencies. They set aside$25,000 for that process,with the
expectation that the awards would be $5,000 for 5 agencies. Criteria for the funding process will
be discussed at the next meeting. Given the setaside, Dianne was asked to redo the soft fund
targets after reducing the amount available by the$25,000. Brandy moved that the$25,000 be
set aside for the parallel process, seconded by Cynthia
c. Review and explain of finding of conflict of interest forms:Group will address as it comes up during
group discussions. Members are encouraged to recuse themselves if they find they have a conflict
with an agency as they are reviewing the applications.
d. Application Reading Group Assigned—Coordinate Calendars

i. Rules of engagement for small group meetings

4. Rating tool, score sheets to Dianne on time and also bring rating tool and scores to
group discussions

ii. Notebooks and additional information. The group had a robust discussion about whether
to accept corrections to the applications after they had been submitted. It appears that
the ShareOne implementation had a few issues come up during the submission process.
Some agencies discovered that if they uploaded a corrected document,that the system
would still keep the original document in the application, but the applicant wouldn't be
informed of that or have any way to know that the uploaded one wasn't accepted. Given
the system wide issues,the group agreed to accept updates of that nature. Dianne also
mentioned that many agencies realized that their financial information was incomplete
and submitted more complete financial information. As it was submitted past the
deadline,the application was scored on the original submission for the financial section,
but the updated information was included so that the Committee could have a better
understanding of the program.
5. Next meeting the group will discuss the rules for funding and the criteria for the parallel funding process.
