This capability will be met with an internal notification platform, such as CodeRED. 2.0 ORGANIZATIONS AFFECTED: All divisions and departments. 3.0 REFERENCES: Renton CEMP Renton COOP RCW 42.56.230 RCW 38.52.577 Renton Policy No. 100 – 05, Public Records Act 4.0 POLICY: 4.1 To ensure timely internal emergency notification and warning, the city will include the following information in a secure emergency notification database: employee name, city-provided cellular device number, city-provided email address, and desk phone number. Employees may add personal emergency contact information to this database voluntarily. Any personal contact information and employee name will be removed from the database upon separation from the city. 4.2 Alerts to city employees will only be sent for emergency purposes, as required, to protect voluntarily provided personal information under RCW 42.56.230. No employee with access to this protected information shall use it for any purposes outside the scope of the Public Records Act, see also RCW 42.56.230 and 38.52.577. Employee Emergency Notification and Usage Policy p. 2 5.0 DEFINITIONS: 5.1 Emergency Purposes: To alert city staff of the imminent or perceived imminent threat to life safety of employees within City facilities; to city property; or to city operations. 6.0 PROCEDURES: 6.1 Authorized Users: • Emergency Management staff will be trained to use CodeRED for emergency notification purposes. Police Watch Desk staff utilize CodeRED for police messaging purposes; in the absence of Emergency Management staff availability, they may send out internal notifications to all staff via CodeRED. • Emergency Management may deny a request to send an internal notification if it does not qualify as an emergency notification as outlined in RCW 38.52.577. 6.2 Alert approval process • In the event of a pre-planned alert or a hazard with sufficient preparation time, approval for any internal notification message through CodeRED will be given by the Mayor and/or CAO (or their designee) according to the City of Renton CEMP and COOP delegation of authority process. • In the event of an immediate emergency situation, Emergency Management may send out an alert themselves, or at the request of an Incident Commander or department administrator, in order to alert staff of an emergency.
