HomeMy WebLinkAboutAdden 2AMENDMENT NO. 2 TO AGREEMENT FOR CAPITAL CAMPAIGN, ASSESSMENT AND COUNSEL THIS AMENDMENT, dated for reference purposes only as January 7, 2022, is by and between the City of Renton (the “City”), a Washington municipal corporation, and The Alford Group Consultant”). The City and the Consultant are referred to collectively in this Amendment as the Parties.” Once fully executed by the Parties, this Amendment is effective as of the last date signed by both parties. Whereas, the City engaged the services of the Consultant under Agreement CAG 20 061, dated March 6, 2020, to provide capital campaign, assessment and planning (referred to herein as the Agreement”); Whereas, the Parties wish to amend the Agreement to increase fees by $29,100.00 in order to provide continued as needed services for the Family First Community Center project. NOW THEREFORE, It is mutually agreed upon that CAG 20 061 is amended as follows: 1. Compensation: Section 4, Compensation, is amended so that the maximum amount of compensation payable to Consultant is increased by $29,100.00 from $140,000.00 to 169,100.00, plus any applicable state and local sales taxes. The additional compensation shall be paid based upon Work actually performed according to the amounts specified in Exhibit A 2 which is attached and incorporated herein. 2. All terms of the Agreement not explicitly modified herein shall remain in full force and effect and such terms shall apply to Work performed according to this Amendment as if fully set forth herein. Indeed, we have been “pandemic partners” as we’ve navigated the challenges and rewards of moving the capital campaign forward in these uncertain times. As you well know, even the best laid plans have needed to be revised, rescheduled and reimagined as shelter-in-place mandates, physical distancing restrictions and other public health concerns have rightfully taken precedence over campaign activities. Nonetheless, we are making steady progress on the $15 million campaign goal. When we joined the Family First effort in March 2020, fundraising had reached $10.3 million. Today we have passed the $14 million mark. It’s been a true team effort, with all members playing their important roles as needed. The most significant challenge has been the protracted timeframe required to achieve this progress. With another $1 million to raise, or perhaps even more depending on the outcome of construction bids, our task is not yet finished. Our current contract is reaching its financial limits, and we project that there is adequate funding through December 2021. In order to pursue existing and emerging opportunities, and maintain momentum with a number of key campaign activities poised to resume after February 2022, as well as start of construction tentatively scheduled for approximately that same timeframe, we anticipate significant campaign progress through at least the first half of next year. T The need to strengthen community, for access to healthcare and wellness activities, for expanded educational opportunities, is as urgent as ever. It has been a privilege to walk with you over the past 18+ months, and we look forward to a continuing partnership as we work together to make the worthy vision of Family First Community Center a gleaming reality. Sincerely, JoAnn Yoshimoto, CFRE Senior Consultant Cc: Russ Woodruff Exhibit A-2 additional fee Family First Community Center Contract Extension for Campaign Counsel December 2021 Family First Community Center/City of Renton Proposed Contract Extension for Campaign Counsel It has been The Alford Group’s (counsel) pleasure to provide Mid-Campaign Assessment & Planning, and Campaign Counsel services to the City of Renton (City) and partners of the Family First Community Center (FFCC or Family First) campaign. Since 2017 Family First has been in the throes of a major capital campaign to raise $15 million to construct a community center in Benson Hill. The vision is to provide a recreational facility to enhance the stability of the community by helping families achieve goals in education, fitness and overall health. When counsel initiated our involvement with Family First in March 2020, approximately $10.3 million had been pledged and/or received, with approximately $4.7 million to be raised by May 2021, the original anticipated date of groundbreaking. The impact of the COVID-19 on campaign progress cannot be overstated. Even the best laid plans have needed to be revised, rescheduled and reimagined as shelter-in-place mandates, physical distancing restrictions and other public health concerns have rightfully taken precedence over campaign activities. The Alford Group believes that the most important determinant of organizational success is leadership, leadership, leadership. In spite of the multiple challenges posed by the pandemic, the Family First project has benefited from strong and steady leadership. Starting in chronological order with the leadership and investment of former Seahawk Doug Baldwin, along with former Mayor Denis Law, the project enjoyed the support and synergy of its programmatic partners: HealthPoint, Renton School District and Renton Regional Community Foundation. With ongoing support from the Renton City Council, and Community Services staff members Kelly Beymer and Russ Woodruff, the project experienced a seamless transition of leadership and affirmation of City support from current Mayor Armondo Pavone. Much has been accomplished over the past few years, including the past 18 months, yet important progress remains to be made. The following pages outline strategic milestones that have been accomplished, and the key priorities that remain. The Alford Group would be honored to partner with the City of Renton and FFCC as you complete this exciting journey. Completed Milestones & Accomplishments The Alford Group evaluated opportunities and provided Family First with recommendations for successfully completing a major philanthropic campaign. Together, we examined six key areas crucial to philanthropic success, engaged and cultivated stakeholders and potential donors. 1. Refreshed the case document for the campaign by creating an updated insert to the FFCC brochure. 2. Conducted highly personalized interviews with key stakeholders 3. Analyzed donor data, trends and outstanding opportunities 4. Compiled and analyzed findings, presented recommendations and a campaign plan. Mid-Campaign Assessment and Planning Summary The primary deliverable of this engagement was the mid-campaign assessment and planning summary. The Alford Group’s summary includes three main elements—findings, analysis, and recommendations—that provide you with the depth and breadth of information that you need to proceed with confidence with the proposed campaign. All three elements are based on solid research and analysis of Family First’s circumstances and the extensive collective experience of The Alford Group team. Family First Community Center Contract Extension for Campaign Counsel December 2021 Campaign Plan The Alford Group provided a plan with a timeline and all of the necessary tools for a successful completion of the Capital Campaign. Campaign Counsel The Alford Group and Family First worked together on the following primary activities to drive the campaign to a successful conclusion: Campaign Phase I: Planning and Lead Gifts - COMPLETE Early campaign efforts focused on solidifying the planning, organizational, volunteer leadership, and lead and major gift identification activities, which laid the foundation for the successful completion of the campaign. This phase included the following activities: Fine-tuned and continually refined elements of the overall campaign plan including timelines, volunteer structures, recognition opportunities,etc. Refined internal processes and documents necessary to support the campaign. Developed an updated brochure insert and campaign newsletter. Provided coaching to all FFCC team members, volunteers and staff leadership. Continued to build, maintain and further develop a comprehensive donor prospect list of individuals, foundations and corporations. Identified, cultivated, and solicited the campaign’s remaining top 5 to 10 lead gifts, including individuals, foundations, and corporations. Developed tailored presentation materials as needed. Discussed campaign policies and procedures. Obtained campaign pledges totaling nearly 79% of the remaining $4.7M goal 3.7M secured). Campaign Phase II: Major Gifts and Public Phase - INCOMPLETE The next phase of the campaign included the continuation of leadership gift efforts and expanded the focus on additional prospective donors with the capacity and propensity to make gifts at the mid-range level of the campaign. Ensured stewardship for lead gift donors through newsletter and periodic meetings. Strategized and implemented follow-up activities for lead gift donors. Continued solicitation of remaining lead gift prospects. Developed tailored major gift presentation materials. Identified major gifts prospects ($10,000 to $25,000). Cultivated and solicited major gifts prospects, focusing on gifts of $10,000 and above. Further developed communications strategies and donor recognition plans. Established strategies for public campaign to involve and engage broader Family First community, including communications, structure of community campaign, small donor recognition, acquisition strategies, celebration event, etc. Continued Partnership: Extension of Current Scope of Work While the major gifts phase is well under way, a significant number of prospective donors remains to be solicited and engaged in the campaign. The public, or community phase, typically launches with groundbreaking or similar major milestone. The activities associated with these campaign phases have the potential to generate the remaining 1 million in philanthropic support required to reach the campaign goal. Your Alford Group team will continue to provide counsel on the phase two activities listed above and will additionally: Assist in stewarding all campaign donors and implementing broad outreach to the general community to raise additional funds, if needed, beyond the original $15 million goal. Provide counsel on messaging and fundraising strategies related to the potential increased construction cost. Enhance the culture of philanthropy and finesse donor communication in order to prepare campaign donors for their potential transition into annual fund donors for FFCC Foundation. Contract Duration This contract extension will be effective for three months beginning January 1, 2022 and ending March 31, 2022. In March 2022, we will discuss the scope of work moving forward to complete the campaign.
