Agreement CAG-17-046 Request for Amendment: Station Alerting Design
Dear Robert:
When we originally established the services for our design team,it was not certain how we were to
include the needed Station Alerting systems in the project. The RRFA has an operational agreement
with a vendor to provide and maintain these systems in their existing stations and it was
undetermined if we should include their design efforts under our contract,or if the City of the RRFA
would contract direct for the altering systems design and construction.
As the design progressed,it was clear that the alerting system needed to be designed and included
in the bid documents so that its provision and installation would be covered under the
construction contract. To provide for this,we engaged Jaymarc AV,the District's preferred provider
to develop design drawings and specification that were incorporated into the bid documents.
Unfortunately,we did not address the lack of their inclusion under our prime agreement for this
element of design. Accordingly,I request an amendment to our agreement totaling$5,450($4,954
+10%)to correct this issue and to compensate our consultant for their design work on the Station
Alerting system.
Thank you very much for your attention to this request.
Respectfully,

Agreement CAG-17-046 Request for Amendment: CA/Contract Extension
Dear Robert:
As we discussed last week,it is apparent that the contractor will likely not achieve substantial
completion of the Fire Station by 1 December as currently planned. They have been managing the
project on their 3-week look-ahead schedule which has resulting in their overall schedule lagging
behind projection, particularly on the exterior envelope scope. Their schedule indicates that the
roofing was to have been completed 7/31/18 and the siding was to have been completed 8/1/18.
As of our 8/10 meeting, neither of these elements has started installation. Additionally,I note that
the schedule has the close-out and completion of the project extending to 2/1/19 whereas our
current agreement ends on 12/31/18.
Given the current status of construction and inevitable issue that come up as a project nears
completion,we anticipate that and additional 1.5 months of our Project Architect and Project
Manager may be needed to complete the project.Based on our efforts to date, our PM logs approx.
30-hrs/month and our PA logs on average 160 hrs.per month during the construction phase. This
totals$17,500/month. I request that we increase our CA Phase services by$26,250 which would
only be used if needed. Additionally,I request that a No-Cost Amendment be made to our
agreement to extend the duration until 1 March 2019.
Thank you very much for your attention to this request.
